About the position

The Property Coordinator supports Plymouth Housing residents by working with the Portfolio Manager and Assistant Portfolio Manager to ensure housing-related services are delivered fairly, respectfully, and in a harm-reduction, trauma-informed, and culturally proficient manner. The role is part of the Property Management team and works on site at a building, sharing relevant property-management information with the site operations team as needed. The position provides administrative and property-management support, including rent processing, lease and compliance documentation, unit-turn tracking, lease signings, scheduling, vendor coordination, supply ordering, calendar management, resident notices, database entry, and reporting. The role also supports resident relations, leasing and compliance, building operations, team activities, and—when covering the front desk—building security and safety. Plymouth Housing is a nonprofit that develops and operates permanent supportive housing for single adults who have experienced chronic homelessness, providing supportive services such as case management and health care.

Responsibilities

  • Build effective and professional relationships with residents; receive, investigate, and troubleshoot resident concerns and complaints before escalating them to managers.
  • Monitor and respond to communications from residents or resident representatives under a manager’s supervision.
  • Provide general administrative support, use MS Office for communications and reports, manage team and building calendars, answer phones, and maintain files.
  • Occasionally conduct lease signings and provide initial building orientation to new residents; serve as a backup facilitator for portfolio managers when needed.
  • Prepare, complete, and submit lease and compliance documents accurately and on time; prepare and serve resident notices and documents required for legal proceedings.
  • Work with onsite Permanent Supportive Housing staff to gather resident information and paperwork, including recertification information.
  • Collect, deposit, and process rent; prepare, distribute, and file rent bills, receipts, and payment plans.
  • Complete or process incident reports, resident grievances, work orders, and notices to vacate.
  • Receive, process, and track work orders; coordinate work performed by contractors and Plymouth maintenance staff.
  • Monitor unit-turn progress and maintain the Unit Turn Report; conduct monthly building key audits and organize replacement keys.
  • Assist residents with unit services, including business-hours lockout re-entry; order building supplies and maintain inventories.
  • Enter resident and property information into property-management software and prepare reports such as accounts-receivable aging and vacancy reports.
  • Attend mandatory meetings and trainings and contribute to team goals.
  • When covering the front desk, operate lobby functions, monitor visitors and security systems, follow safety and emergency procedures, monitor access areas, conduct safety and floor checks, and notify site leadership about program-rule violations.
  • When covering the front desk, respond to emergencies and crises, use de-escalation and conflict-mediation techniques, and perform light janitorial tasks as needed.
  • Perform other work-related duties as requested by the Portfolio Manager or Assistant Portfolio Manager.

Requirements

  • AA degree or an equivalent combination of education and relevant work experience.
  • One year of customer service experience and/or one year working in a similar position or environment.
  • Ability to communicate and work effectively with a diverse group of people.
  • Strong interpersonal skills and judgment when interacting with residents, staff, and the public, including maintaining appropriate boundaries.
  • Strong administrative support experience and written and verbal communication skills.
  • Excellent attention to detail and organizational skills.
  • Problem-solving ability and persistence in resolving issues.
  • Ability to work independently and as part of a team.
  • Proficiency with Microsoft Office, particularly Word, Excel, Outlook, and Teams.
  • Ability to work effectively with customized databases and technology and conduct internet research.
  • Commitment to providing quality resident service and empathy for residents’ needs.
  • Adaptability and flexibility in ambiguous situations.
  • Ability to work one weekend day shift.

Nice-to-haves

  • Experience in supportive housing or working with diverse, low-income, or special-needs populations.
  • Experience with rule enforcement, including lease and building rules and Seattle Landlord-Tenant law.
  • Working knowledge of the Section 8 subsidy program or low-income housing tax credit regulations.
  • Ability to speak a second language; Spanish language ability is desired.

This is what this question poses: When do you focus and start working seriously? What are the hours you work optimally? Are you a night owl? A morning bird? Remote teams can be made up of people working on different shifts and around the world, so you won't necessarily be stuck in the 9-5 schedule if it's not for you...

2. HOW DO YOU USE THE DIFFERENT COMMUNICATION TOOLS IN DIFFERENT SITUATIONS?

When you're working on a remote team, there's no way to chat in the hallway between meetings or catch up on the latest project during an office carpool. Therefore, virtual communication will be absolutely essential to get your work done...

3. WHAT IS "WORKING REMOTE" REALLY FOR YOU?

Many people want to work remotely because of the flexibility it allows. You can work anywhere and at any time of the day...

With this question, companies are looking to see what equipment they may need to provide you with and to verify how aware you are of what remote working could mean for you physically and logistically...

5. HOW DO YOU PROCESS INFORMATION?

Several years ago, I was working in a team to plan a big event. My supervisor made us all work as a team before the big day. One of our activities has been to find out how each of us processes information...

6. HOW DO YOU MANAGE THE CALENDAR AND THE PROGRAM? WHICH APPLICATIONS / SYSTEM DO YOU USE?

7. HOW DO YOU ORGANIZE FILES, LINKS, AND TABS ON YOUR COMPUTER?

Just like your schedule, how you track files and other information is very important. After all, everything is digital!...

8. HOW TO PRIORITIZE WORK?

9. HOW DO YOU PREPARE FOR A MEETING AND PREPARE A MEETING? WHAT DO YOU SEE HAPPENING DURING THE MEETING?

Just as communication is essential when working remotely, so is organization. Because you won't have those opportunities in the elevator or a casual conversation in the lunchroom, you should take advantage of the little time you have in a video or phone conference...

10. HOW DO YOU USE TECHNOLOGY ON A DAILY BASIS, IN YOUR WORK AND FOR YOUR PLEASURE?

This is a great question because it shows your comfort level with technology, which is very important for a remote worker because you will be working with technology over time...
